At present, we have a vacancy for a Telephonist/Receptionist.


Location: Diss. May be required to work out of the Norwich and London office on accasion

Hours of Work: Full time. 9.00 till 5.30pm (37.5 hours a week), Monday to Friday with additional hours being required from time to time

Purpose of role:

  1. To provide the first point of contact for all telephone enquiries across our 3 offices in Diss, Norwich and London
  2. To provide clerical administration support to the Practice Manager, Team Support and others as required

Key Responsibilities and Objectives:

  1. Reporting to the Administration Manager, you will be responsible for answering all telephone enquiries to the company in a polite, professional and courteous manner
  2. To listen carefully to callers to identify the nature of the call and their requirements in order to transfer the call to the correct person
  3. To take accurate telephone messages for staff, as required and pass them on in an efficient and timely manner
  4. To cover reception, as required and provide reception duties; meeting and greeting clients in a professional and friendly manner, offering to make refreshments, organising hospitality requirements for visitors and meetings, ensuring meeting rooms are kept clean and tidy at all times
  5. To provide confidential secretarial support to the Practice Manager and other members of Team Support
  6. To book meeting rooms and maintain the reception diary
  7. Photocopying/scanning /faxing

Essential Skills and Requirements:

  • Excellent telephone manner
  • Good customer service skills
  • Ability to speak to people at all levels and understand their requirements
  • Excellent attention to detail
  • Excellent IT and keyboard skills with a good knowledge of using Microsoft packages (Word and Excel)
  • Confident communication skills
  • Excellent organisation and time management skills with the ability to prioritise
  • The ability to work independently under own initiative as well as part of a team
  • Ideally have administrative or secretarial experience
  • Be willing to take on additional duties and responsibilities as and when required

This is a busy and varied role within the firm and requires flexibility, excellent communication, client care and team skills, with the ability to take the initiative.
